How do I install Inventory Guardian in Microsoft Teams?
Go to the Teams App Store, search for Inventory Guardian, and click Add. You can pin it to your sidebar for quick access. If your organization manages app permissions, ask your Teams administrator to approve the app from the Teams Admin Center.
How do I add a new inventory item?
Navigate to the Inventory tab and tap the + Add Item button. Fill in the item name, category, office, quantity, and threshold levels. You can also scan a barcode to pre-fill item details.
What is a reorder point and how is it calculated?
The reorder point is the quantity at which you should place a new order to avoid running out. It accounts for your average daily usage and your configured lead time. You can set a custom reorder point per item or let the app calculate it from your usage trends under Settings → Thresholds.
How do I manage multiple offices or locations?
Open Settings and scroll to the Offices section. Add each office name, then configure separate stock thresholds (low, critical, max, reorder point) per office. Use the Office Filter at the top of any page to view data for a single location.
Why are some items showing as Low Stock or Out of Stock?
These alerts fire automatically when an item’s quantity drops below the thresholds you configured. Low Stock means the quantity is below the low-stock level. Out of Stock means it has reached zero or below the critical level. Head to the Alerts tab to acknowledge or act on these notifications.
How do stock adjustments work?
Go to Stock Adjustments and choose the adjustment type: Add (receiving new stock), Remove (damage, loss, or disposal), or Assign (issuing to a person or project). Enter the quantity and an optional reason, then save. The item’s quantity updates instantly and the record is logged for auditing.
How do I enable or disable notifications?
In Settings → Notifications, toggle the master switch to enable or disable all alerts. You can also selectively enable notifications for specific alert types: Critical, Low Stock, Out of Stock, and Reorder Point.
Can I export inventory reports?
Yes. Go to the Reports tab, select your date range and office filter, then tap Export. Reports are available in CSV format and can be shared directly from Teams.
What does auto-reorder do?
When enabled under Settings → Reorder, Inventory Guardian will automatically generate purchase order suggestions when items hit their reorder point. Enable Reorder to Optimal to have it calculate the quantity needed to reach the max level. You can specify a preferred vendor that will be included on the draft order.
My data isn’t syncing — what should I check?
Open Settings → Data and confirm Sync Enabled is on. Check that your device has an internet connection and that you’re signed into your Microsoft account in Teams. If the problem persists, toggle sync off, wait a moment, and toggle it back on to force a re-sync.
How do I change the theme or date format?
Open Settings → Look & Feel. You can switch between System, Light, and Dark themes, enable Compact Mode, and set your preferred date format (MM/DD/YYYY or DD/MM/YYYY). Changes apply immediately without restarting the app.
